How it works

A documented path from project brief to shipment preparation.

VELA coordinates the China-side sourcing process while keeping supplier, warehouse, freight-provider and client responsibilities distinct.

How does VELA manage a sourcing project?

The process begins with requirements and specifications, then moves through supplier matching, comparable quotations, product approval, order coordination, production follow-up, pre-shipment inspection and shipment preparation. Each stage produces information the buyer can review before the next commercial commitment.

Eight stages

Decisions are recorded before money or goods move.

The precise sequence changes by product and project, but specifications, payment details, inspection evidence and responsibility boundaries remain essential.

01

Requirement review

Plans, BOQ, product list, references, quantities, budget and destination are reviewed.

02

Supplier matching

Suitable specialist suppliers are identified by category, capability, order size and price level.

03

Comparable quotations

Specifications and commercial terms are clarified so options can be compared on the same basis.

04

Approval and ordering

Products, samples, drawings, payment route, deposits and production requirements are confirmed.

05

Production follow-up

VELA follows supplier schedules and communicates progress or revised dates to the client.

06

Pre-shipment inspection

Photos, videos and inspection findings are provided before the client approves release.

07

Correction and consolidation

Nonconformities are followed up; approved orders can be received and consolidated through a partner warehouse.

08

Shipment coordination

VELA coordinates packing, loading and export information with the client’s appointed freight provider.

Commercial boundary

Product, service and logistics costs stay identifiable.

VELA’s income comes from the sourcing service fee paid by the client rather than undisclosed supplier rebates. Supplier payments may be made directly or through VELA by prior agreement. Warehousing, consolidation and freight are quoted separately by third-party logistics providers.

Process questions

Payments, inspection and responsibility.

How do I start a sourcing project with VELA?

Send the product categories, plans or product list, quantities, references, budget, destination and required dates. VELA reviews the information and identifies the next clarification or quotation step.

Can clients pay factories directly?

Yes. Clients may pay factories directly or pay through VELA, depending on the arrangement confirmed before ordering. The payment recipient, deposit, balance and service fee are documented before transfer.

When is the VELA service fee confirmed?

The applicable fee tier and calculation basis are confirmed before orders are placed. Large projects requiring detailed supplier matching and quotation work may require a USD 200–500 sourcing deposit confirmed in advance.

What happens when an inspection finds a defect?

VELA documents the issue, agrees the appropriate repair, correction or remaking action with the factory, confirms the corrective schedule and updates the client before shipment approval.

Who is responsible for international freight?

The selected freight forwarder or carrier is responsible under its own contract for international transportation. VELA coordinates China-side preparation and communication but is not the international carrier.
